The AIAS member and student registration fees include all keynote events, seminars, charrettes, the Architecture College + Career Expo, lunch on December 30, Firm Crawl and the Beaux Arts Ball on New Year's Eve (unless otherwise noted). Tours and the December 30th all-day workshops have additional fees.

Chapters registering a group of students should register each person individually online and then indicate at the payment screen that a group check will be sent. Unless othewise arranged, ALL PAYMENTS MUST BE RECEIVED IN THE AIAS OFFICE BY 5:00 PM (Eastern Time) ON FRIDAY, DECEMBER 11, 2009.

WEATHER AND TRAVEL ADVISORY: The National Weather Service ten-day forecast is predicting generally clear weather for Minneapolis and the rest of the country on the primary travel days for the convention (Dec. 28-29 and Jan. 1-2). Therefore, we do not anticipate any weather-related delays or cancellations before, during or after the convention. (updated 12/28 12:00 PM)

The nearly 600 attendees are using practically every form of transportation to travel to Minnesota. Mechanical breakdowns, weather and heavy traffic may affect travel therefore we encourage you to be patient and flexible should circumstances affect your arrival and departure from Minnesota. If you should be delayed by weather or other problems it is recommended that you call the Hyatt hotel (612.370.1234) to confirm your reservation. SPECIAL NEEDS
The AIAS is committed to making our meetings accessible to all. Please notify us at the time of registration if you have special accessibility needs or specific dietary requirements. You may indicate this during the online registration process or contact us at mailbox@aias.org.

GUESTS
In recognition that our members and other registrants enjoy traveling and sharing experiences with their significant others (married spouse, domestic partner, girl/boyfriend), the AIAS offers a guest rate for its conferences. Guest registration is strictly reserved for spouses or significant others who accompany conference attendees for personal reasons. Guests are not eligible to participate in the seminars, workshops, general sessions and may not report learning units for IDP or continuing education credit. Individuals registering as Guests can only do so for the optional events that are ticketed separately, such as the tours and the Beaux Arts Ball. Guests interested in attending the entire conference must pay the "Non-Member Rate" if they are not AIAS members.

CANCELLATION POLICY
Cancellations prior to 12:00 Midnight (Eastern Time) on December 7, 2009 will be refunded less a $25 processing fee. Due to contractural obligations with our vendors, REFUNDS WILL NOT BE MADE AFTER DECEMBER 7, 2009 OR FOR NO-SHOWS FOR ANY REASON*. Cancellations must be made in writing by letter, fax or email to mailbox@aias.org. Please allow four to six weeks after the conference for the refund to be provided. In lieu of cancelling you may transfer your registration to another person without penalty.

Space in the pre-conference workshops and on the tours is limited and registration is on a first-come, first-served basis and subject to change. Some tours and pre-conference workshops may have their times and dates change or be cancelled due to things beyond the control of the AIAS. You will be notified in advance (when possible) of changes. You will receive a 100% refund if a pre-conference workshop or tour is cancelled. Registration is on a first-come, first-served basis and subject to change.

Registering for the conference constitutes an agreement between you and the AIAS, Inc. Upon registering, you agree to pay all fees in a timely manner, adhere to this cancellation policy and adhere to a professional conduct during the meeting. Regardless of when and if you pay your fees this cancellation policy applies. Furthermore, you are ultimately responsible for your fees even if another party (such as your chapter) has expressed its intent to pay them on your behalf.

The performance of the agreement by the AIAS, Inc. may be affected by force majeure (including but not limited to acts of God, acts of war or other acts of enemies, government regulation, disaster, strikes, floods, civil disorder, curtailment of transportation facilities, or other emergency or event beyond the control of the parties), thus making it inadvisable, unsafe, illegal, or impossible to provide required accommodations and/or meeting facilities, hold the meeting, or travel to the meeting. In the event of force majeure, the AIAS may terminate the agreement upon providing written notice by email or other means to the other party without penalty or obligation. Such right of termination shall not be unreasonably exercised.

In addition, the AIAS, Inc. reserves the right, in its sole discretion, to cancel this meeting. In that event, the AIAS shall refund to you all registration fees it has received from you for this meeting but shall have no further obligation to you of any type, whether monetary or otherwise. Accordingly, the AIAS, Inc. shall in no event have any liability to you and shall have no other obligation to you of any type except as expressly stated in the preceding sentence. Such right of termination shall not be unreasonably exercised. The AIAS, Inc. is not responsible for errors or omissions on the Web site.

*Cancellations for extraordinary circumstances will be evaluated on a case-by-case basis.
