Can chapters co-host a Quad Conference?
Yes, two chapters from the same city can host a Quad Conference together.
If there is a profit from the conference, does the profit go to the chapter?
The profits are calculated by adding all revenue (registration and sponsorship) and subtracting all expenses. If there is a profit, it will go to your chapter.
What if I want to use the same conference title as a past conference?
We don’t recommend using the same title of a conference held in your quad within the last five years.
Can I start my own Instagram/website for conference programming?
Yes! You can create an Instagram account or a standalone website to host your conference programming. The National Office will also post a page for your Quad Conference on AIAS.org. Likewise, the National Office will collaborate with your team on social media promotion.
Can I submit my bid packet late?
Unfortunately, we will need to receive packets prior to the deadline so we can ensure presentations are ready for Grassroots.
What if I don’t have support from my school, but my chapter really wants to do it?
AIAS prefers that quad conferences be hosted with support from your school.
Does the quad director need to be included in conference team meetings?
Yes, the Quad Director will be included in the conference planning calls with the host chapter and the National Office (meetings will be bi-monthly at first, weekly closer to the event).
What if I don’t raise enough money to cover costs?
If your bid wins, the AIAS staff will work with your team to put together a budget that at the very least breaks even. We encourage you to identify sponsorship support for every major expense you are planning.
